1. Financial Management:
Bookkeeping: Recording all financial transactions accurately and timely using accounting software.
Accounts Payable and Receivable: Managing invoices, payments, and receipts. Handling supplier invoices, ensuring they are accurate and processed in a timely manner. Managing customer invoices, tracking payments, and following up on overdue accounts.
Bank Reconciliation: Matching bank statements with internal records to ensure accuracy and identify discrepancies.
Financial Reporting: Preparing financial statements, including profit and loss statements, balance sheets, and cash flow statements. Assisting in the preparation of financial reports for management and external stakeholders.
Budgeting and Forecasting: Assisting in the preparation and monitoring of budgets. Providing support in financial forecasting and variance analysis.
2. Administrative Support:
Office Management: Overseeing day-to-day office operations, including managing office supplies, facilities, and equipment.
Documentation and Filing: Maintaining organized and up-to-date records, both physical and digital. This includes financial documents, contracts, personnel records, and other administrative files.
Correspondence: Handling emails, phone calls, and other forms of communication. Providing prompt and professional responses to inquiries from clients, suppliers, and internal stakeholders.
Travel Arrangements: Making travel arrangements for employees, including booking flights, hotels, and transportation.
HR Support: Assisting with human resources tasks such as onboarding new employees, maintaining employee records, and administering payroll.
Event Coordination: Organizing company events, meetings, and conferences. This includes managing logistics, coordinating with vendors, and ensuring events run smoothly.
3. Compliance and Regulatory Responsibilities:
Tax Compliance: Ensuring compliance with local tax regulations, including VAT filings. Assisting in the preparation of tax returns and supporting documentation.
Legal Compliance: Ensuring adherence to relevant laws and regulations governing financial reporting, data protection, and other areas applicable to the business.
Licensing and Permits: Obtaining and renewing business licenses, permits, and other regulatory requirements as needed.
4. Team Collaboration:
Collaborating with Colleagues: Working closely with colleagues in the finance department, administration, and other departments to support organizational goals and objectives.
