Job Summary :
The Accountant cum Admin is responsible for managing the financial operations of the real estate company while also supporting administrative functions to ensure the efficient day-to-day operations of the office. This role requires a highly organized individual with a strong background in accounting and administration, who can handle both financial tasks (such as bookkeeping and financial reporting) and office management responsibilities (such as coordinating schedules, managing documentation, and assisting with client communications).
Key Responsibilities : Accounting Duties :
• Financial Record Keeping :
• Maintain and update all financial records for the company, including general ledger entries, accounts payable, and accounts receivable.
• Ensure timely processing of invoices, receipts, and payments for property transactions.
• Bank Reconciliation :
• Reconcile bank accounts on a monthly basis and resolve discrepancies between company records and bank statements.
• Financial Reporting :
• Prepare monthly, quarterly, and annual financial statements and reports (Profit & Loss, Balance Sheet, etc.).
• Assist with tax filings, including VAT, GST, and any other applicable taxes in real estate transactions.
• Budgeting & Forecasting :
• Assist in the preparation of company budgets, track actual performance against budgets, and help with financial forecasting.
• Payroll Management :
• Process employee payroll, ensuring that all payments are made on time and that deductions (taxes, benefits, etc.) are accurate.
• Taxation :
• Ensure timely and accurate filing of tax returns and maintain proper documentation for audit purposes.
• Audits & Compliance :
• Ensure compliance with accounting standards, regulations, and company policies.
• Assist with internal and external audits and ensure all necessary documentation is provided.
Administrative Duties :
• Office Management :
• Organize and maintain office systems, including filing systems for property documents, contracts, and financial records.
• Manage office supplies, ensure all office equipment is functioning, and coordinate repairs or replacements as needed.
• Client Coordination :
• Handle client inquiries related to property transactions, providing assistance or forwarding them to the appropriate department.
• Schedule meetings, property viewings, or site inspections for clients, brokers, or potential investors.
• Documentation & Reporting :
• Prepare and maintain property-related documentation, including sale agreements, lease contracts, and maintenance contracts.
• Ensure that all legal and compliance paperwork is up to date, and track the expiration of contracts and renewals.
• Communication & Liaison :
• Serve as a liaison between management, clients, vendors, and service providers.
• Coordinate with legal, real estate agents, and contractors to ensure that transactions, including buying, selling, and leasing, are carried out efficiently.
• Scheduling & Coordination :
• Manage calendars, appointments, and meetings for senior management, agents, or clients.
• Organize company events, property exhibitions, or conferences as required.
• HR Support :
• Assist with employee onboarding, leave management, and maintaining employee records.
• Support HR with recruitment, training, and employee relations as needed.
Other Duties :
• Provide administrative support during real estate transactions (property closings, documentation filing).
• Manage incoming and outgoing correspondence (emails, phone calls, faxes).
• Perform ad-hoc duties as assigned by the management.
Job Type: Full-time
Pay: AED3,000.00 - AED4,000.00 per month
